There's a particular kind of dread that shows up the week before an inspection: not fear that the work was done badly, but uncertainty about whether the record can prove it was done at all. Everyone who has sat through a mock inspection knows the feeling of watching a team scramble to locate an approval that definitely exists somewhere, for a step everyone remembers completing.
That scramble is a symptom. The underlying condition is treating documentation as something separate from the work — produced alongside it, filed after it, and therefore always at risk of drifting out of sync with what actually happened.
Readiness as a standing state, not an event
If documentation is generated as a byproduct of assigned work — if the record exists because the task existed, not because someone reconstructed it afterward — then "getting ready" for an inspection stops being a distinct activity. There's nothing to prepare, because the record was never allowed to drift away from the work in the first place.
That's the premise behind the two AI assistants we've built into Opuspec: an Inspection Readiness Assistant that continuously checks for missing approvals and documentation gaps against the templates that define what a complete record looks like, and a Workflow Traceability Assistant that confirms the human chain of custody — task, document, approval — is intact end to end.
What "readiness" does not mean here
We want to be specific about scope, because it matters. Neither assistant reviews statistical content, dataset lineage, or SDTM/ADaM specifications. That work belongs to tools built and validated for it — Pinnacle 21 and SAS LSAF, among others — and we have no interest in duplicating or second-guessing it. What these assistants check is narrower and, we'd argue, just as important: whether the human process around the work — who did it, when, with what approval — is complete.
Every check either assistant performs is itself logged: which model was used, what it was given, who reviewed the output, and what was decided. An AI assistant that flags a gap is only useful if the flag itself is auditable — otherwise we'd just be trading one black box for another.
The honest caveat
Opuspec's audit trail and workflow engine are built to the QA standard used by major CROs. Formal validation — IQ/OQ/PQ and Part 11 attestation — is in progress, not complete. We're saying that here for the same reason we built the assistants the way we did: readiness means being precise about what's true, not what would sound reassuring.
